Our Work

Most organisations do not have a technology problem. They have a workflow problem across technology. The cost sits in manual handling, duplicated tools, and unclear handoffs - and that is where techsweet's work starts.

Lead generation and follow-up

The pattern
Enquiries land in different places and response depends on workload. Follow-up relies on memory, and leads go cold during busy periods.

What changes

  • enquiries captured into one pipeline regardless of source

  • acknowledgement and ownership applied automatically

  • follow-up prompts triggered, with exceptions surfaced early

Typical outcomes

  • faster follow-up without adding headcount

  • fewer missed opportunities and clearer pipeline visibility

  • a more consistent customer experience from first contact

Common Bottlenecks

When we reduce the bottlenecks within your organisation we begin to see some real changes.

Lead failure

Situation

A small business had a Wix site that looked OK but was not generating leads. The contact form wasn't formatted well. Enquiries sat unchecked. The brand was inconsistent underneath - different fonts, outdated services, a dead blog.

What we did

No new platforms. We cleaned up the brand, optimised the AI SEO, and updated the services. Wix's built-in marketing AI agents were turned on to provide instant acknowledgement and assign accountability to the team. Follow-up was tracked through project management tools to make sure nothing dropped. All inside the subscription they were already paying for.

Result

Website went from digital business card to active lead generation. New customers were able to reach the brand. Zero extra cost.

One person bottleneck

Situation

A contracting company had a director personally reconciling every contractor pay cycle. Different rates, different formats, different approvals - across Clockify, Excel, Xero, and email. It took him days every fortnight, and nothing moved without him.

What we did

We connected it end to end using n8n at $35 a month. Timesheets pull from Clockify, match to contract rates, and prepare invoices in the format each defence client requires. AI matches scanned paper timesheets against digital records. Only exceptions need his attention.

Result

The system we built gave the director back days every fortnight to invest in winning new work and strategic growth.

Dozens of systems. No single source of truth.

Situation

A large organisation had grown into dozens of disconnected systems - Xero, Employment Hero, KeyPay, ApprovalMax, Monday.com. The same employee existed in five places with different details in each. Staff spent hours every week reconciling data nobody fully trusted.

What we did

We mapped every system and data flow, then designed a single data platform using Microsoft Fabric. AI-assisted workflows compare records, flag gaps, and sync changes automatically. Each department gets their data formatted for their use case.

Result

Once implemented, thousands of hours of reconciliation removed. One update flows everywhere.

Our Work

Real work, delivered. Each of these started with a specific operational problem and ended with a measurable improvement.

Typical Outcomes

Automate the bottlenecks and this is what the business gets back.

Hours of manual admin removed from day-to-day workflows

Faster response and follow-up without adding headcount

Reduced software duplication and cost leakage

Clearer ownership across handoffs and approvals

Better visibility across priorities, exceptions, and workload

Stronger access and workflow control as systems evolve

Lead generation

Leads coming in. Customers going elsewhere.

Financial Workflows

Work's done. Admin's piling up. Payment's not arriving.

People Processes

Team's growing. No way to tell if the time and cost is being used well.

Security and Data

Measures in place. Risk visibility is missing.

Marketing Operations

Marketing budget going out. Nothing linking it back to growth.

Agentic AI

AI tool bought to save time. It just added to the load.

Operations and Delivery

Things need to run better. No clear picture of where to start.

Common Bottlenecks

These are the areas where we consistently see the most time and money lost. Each one responds well to targeted automation and better-connected systems.

Marketing operations

Improve marketing control by making spend, performance, and execution easier to run.

The pattern
Budget is spread across channels with no single view of what is working. Reporting takes effort, and content consistency drops when operations get busy.

What changes

  • spend and performance consolidated into one view

  • content planned and scheduled in advance

  • reporting automated so results remain current and comparable

Typical outcomes

  • clearer ROI and better decisions on where to invest

  • consistent execution without constant effort

  • less manual reporting and channel switching

Finance Workflows

Reduce admin and improve cash flow by automating invoicing, reminders, and reconciliation.

The pattern
Invoices go out late, follow-up is inconsistent, and reconciliation becomes a recurring manual task. Visibility stays unclear until someone checks.

What changes

  • invoices triggered from agreed milestones

  • reminders sent on schedule, with exceptions flagged

  • payments matched in the background and issues surfaced early

Typical outcomes

  • improved cash flow consistency and fewer overdue accounts

  • less time spent chasing, checking, and reconciling

  • clearer visibility across receivables and exceptions

People processes and access

Speed up onboarding and reduce access risk through consistent joiner and leaver workflows.

The pattern
New starters wait for access, permissions vary by who sets them up, and offboarding relies on checklists that can miss steps.

What changes

  • onboarding triggered from one intake

  • permissions applied consistently based on role

  • access removed across systems at the same time

Typical outcomes

  • faster onboarding with fewer delays

  • reduced access risk and fewer gaps

  • clearer ownership of joiner and leaver steps

Operations and delivery

Connect workflows and surface priorities early so teams spend less time chasing information.

The pattern
Updates are scattered across tools and handoffs are easy to miss. Exceptions surface late and oversight requires constant checking.

What changes

  • key workflows connected across systems and teams

  • priorities and exceptions surfaced automatically

  • a simple operational view created from existing data sources

Typical outcomes

  • fewer missed handoffs and less rework

  • faster decisions based on current information

  • reduced time spent checking and chasing

Security and access

Make access, data movement, and workflow risk visible and governed as systems and automation scale.

The pattern
Tools and automations expand over time. Access grows informally, data spreads across systems, and ownership becomes unclear.

What changes

  • access reviewed, cleaned up, and standardised

  • sensitive data locations and flows made visible

  • monitoring introduced so issues surface early

Typical outcomes

  • reduced operational and cyber risk

  • stronger assurance and audit readiness

  • safer automation without slowing operations

Agentic AI access control

Make sure AI agents only access what they need, and nothing they shouldn't.

The pattern

Businesses are starting to use AI agents that take actions on their own - sending emails, updating records, making decisions based on data. But most of the time, nobody's thought about what those agents actually have access to. They inherit broad permissions, connect to systems they don't need, and handle data that was never intended for automation.

It's the same problem businesses have had with people and access for years, just faster and harder to see.

What changes

  • AI agent permissions reviewed and scoped to the minimum they need

  • Clear rules for what agents can and can't do, enforced automatically

  • Visibility over what agents are accessing, what data they're touching, and what decisions they're making

  • Human checkpoints built in where the risk warrants it

Typical outcomes

  • AI that works for the business without creating blind spots

  • Confidence to adopt agentic tools without worrying about what's happening behind the scenes

  • Audit trail that shows exactly what happened, when, and why

  • Faster adoption because the controls are built in from the start, not bolted on after something goes wrong
